Privacy policy

1. Who is responsible
OffRadar is responsible for the personal information described in this policy. We handle personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA). Our privacy officer can be reached at privacy@offradar.ca.
2. What we collect
- Contact details: your name, role, email address, and phone number.
- Aircraft details: registration, ICAO 24-bit address, type, the registered owner, and the operator. Where the owner is an individual, or the aircraft can be linked to one, this is personal information and we treat it as such.
- Authority documents: the signed letter of authorization and any evidence of ownership or operation that a site requires.
- Listings: addresses and screenshots of pages on which the aircraft appears.
- Billing records: invoices and payment records. We do not store card numbers.
- Correspondence: emails between us, and between us and sites on your behalf.
We do not ask for passenger names or itineraries and ask you not to send them.
3. Why we collect it
To answer your enquiry, confirm that we have authority to act, make and follow up requests to flight tracking sites and program administrators, check for new listings, report to you, invoice you, and meet our legal and tax obligations. We do not use your information for advertising and we do not sell it.
4. Consent
We collect information directly from you, with your consent, when you send the request form, email us, or sign a letter of authorization. If you give us information about another person, such as the registered owner, you confirm that you are entitled to do so. You may withdraw consent at any time by writing to us. We will then stop work on the aircraft concerned, subject to section 7.
5. Who we disclose it to
- Flight tracking sites and program administrators. They receive the registration, ICAO address, letter of authorization, and any evidence they require. This disclosure is the purpose of the service. Many of these recipients are outside Canada, and they handle what they receive under their own policies.
- Service providers. Companies that host this website, process the request form, and provide our email, document storage, and invoicing. They may use the information only to provide those services to us.
- Where the law requires. We disclose information when we are legally compelled to.
We do not disclose that you are a client, or which aircraft you have enrolled, to anyone else.
6. Where it is stored
Some of our service providers store or process information outside Canada, including in the United States. Information held there is subject to the laws of that country and may be accessible to its courts and authorities.
7. How long we keep it
We keep client records for as long as an aircraft is enrolled and for two years afterwards, so that we can answer questions about requests we made. We keep billing records for as long as tax law requires. Enquiries that do not become clients are deleted after six months. We then delete the information or make it anonymous.
8. How we protect it
Access is limited to the people who do the work. Records are kept in password-protected accounts with two-step sign-in, and authorization documents are stored separately from general correspondence. No method of storage or transmission is completely secure. If a breach creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.
9. This website
The site does not use advertising or analytics cookies and does not track you across other sites. Our hosting provider keeps standard server logs, including IP addresses, for security. The site's typefaces are served from this website itself, so your browser does not contact Google or any other font service when a page loads. The forms on this site are processed by the website's hosting provider.
10. Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or ask a question about how we handle it, by writing to privacy@offradar.ca. We answer within 30 days. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada.
11. Changes
We will post any change to this policy on this page with a new date, and tell existing clients in writing about any material change.
